The following email was sent to coaches on 12/8 by Tournament Director Rick Kale.

Hi Coaches and Teams!

Your big day is almost here. Below is a “comprehensive” list of information for you as you do final preparations.

School address: 255 E Riggs Rd, Chandler, AZ 85249

  • Park in the front parking lot and enter through the main doors on the front of the building

Materials to bring with you:

  • Team Roster (should be printable from the Team Registration System) – required for check-in
  • Team Information Sheet (PDF file attached to fill out; bring 1 copy)
  • See attached “Packing List Suggestions.docx” for additional ideas of stuff to bring with you.

Event Schedule

  • 7:30am to 8:30am – Team registration – Gymnasium
    • Note: only the coach is needed to visit the registration table; if students arrive separately with their parents, they can go direct to the pits and find their table
  • 8:30am to 9:00am – Coaches meeting
  • 9:15am – Start of Judging Sessions and Robot Matches (practice round) – various classrooms and gymnasium
  • 10:35am – Start of Robot Matches (official rounds)
  • *Approx 11:45am to 12:45pm – Lunch – Cafeteria
  • *TBD  – Official Rounds finish
  • *TBD – Closing ceremony – Gymnasium
  • *Full event should be complete by 5:00pm
  • *I am still refining the schedule, but I expect the event to fit within this frame (if it deviates greatly, I will advise ahead of Thursday).

Other Notes on the Event

  • FIRST® LEGO® League events are very ‘scripted’ in terms of time. Each team has multiple sessions that occur at specific times. It is very important to be on-time/ahead of schedule to your judging and robot matches. If there is a conflict, always make sure that the judging session takes priority (robot matches are easy to make up at a later time).
  • If you bring your own mat for practicing during down time between your robot matches and judging session, please make sure that it is not blocking pathways or would make a hazard in an emergency. There will be a practice tables available in the pits for all teams to share (although, it may become crowded).
  • This event is open to the families of your participants. The main viewable portion of the event is being held in a school gymnasium so there should be enough space (but it is hard to say for certain depending on how many additional people show up per team).
  • Team Information Sheet (attached; bring 1 copy; team to provide to judges at their judging session; helps the judges with details about your team)
  • Review the packing list suggestions

Lunch

  • FREE Pizza lunch will be provided by the iRise Foundation.
  • The pits and robot game are in areas of the school that are not friendly to food/drink. Please do not bring food into the gym. We are borrowing this facility for the day and must return it as clean or cleaner than when we arrived.

The iRise Foundation provides FREE Pizza lunch at this event.

An action for you…

  • Please confirm your team’s name with me. Informs me you received this e-mail and sometimes the team members have decided to change their name after the initial registration input (which is the info I have). This will ensure our announcers, referees, judges and other volunteers call out the proper name (hard to correct all the sheets of paper on event day).
  • Please let me know if you are attending this qualifier with multiple teams from the same school but different coach names (the same coach’s name for multiple teams is easy to see). I generally organize the team pits by numerical team number but will put same teams together in case they share supplies.
