Hi Coaches and Teams!
Your big day is almost here. Below is a “comprehensive” list of information for you as you do final preparations.

School address: 350 N. Arizona Avenue, Chandler, AZ 85225
• Important Note: ** TBD … still confirming exact parking location, I will send out an update later in the week along with an annotated map.

Materials to bring with you for check-in:
• Team Roster (should be printable from the Team Registration System)
• Team Information Sheet (PDF file attached to fill out; bring 1 copy)
• See attached “Packing List Suggestions.docx” for additional ideas of stuff to bring with you.

Event Schedule
• 7:30 am to 8:30 am – Team registration – nearby pit entrance
• 8:30 am to 9:00 am – Coaches meeting – cafeteria (competition area)
• 9:15 am – Start of Judging Sessions and Robot Matches (practice round) – various classrooms and cafeteria
• 10:35 am – Start of Robot Matches (official rounds)
• 12:15 pm to 1:00 pm – Lunch [teams are on their own for arranging lunch]
• 2:00 pm – Official Rounds finish
• We can do optional additional unofficial robot round(s) and/or potentially another activity while the judges deliberate.
• About 3:45 pm – Closing ceremony – cafeteria
• Full event should be complete by 4:45 pm

Other Notes on the Event
• FIRST® LEGO® League events are very ‘scripted’ in terms of time. Each team has multiple sessions that occur at specific times. It is very important to be on time/ahead of schedule for your judging and robot matches. If there is a conflict, always make sure the judging session takes priority (robot matches can be made up later).
• If you bring your own mat for practicing during downtime between your robot matches and judging sessions, please make sure that it does not block pathways or create a hazard in an emergency. Practice tables will be available in the pits for all teams to share (though it may get crowded).
• This event is open to the families of your participants. The main viewable portion of the event is being held in a school cafeteria, so there should be enough space (but it is hard to say for certain, depending on how many additional people show up per team).
• Team Information Sheet (attached; bring one copy; team to provide to judges at their judging session; helps the judges with details about your team)
• Review the packing list suggestions

Lunch
• The iRise Foundation will provide FREE Pizza lunch.
• The pits and robot game are in areas of the school that are friendly to food/drink; however, please remember to keep your pit areas clean. We are borrowing this facility for the day and must return it cleaner than when we arrived.

An action for you…
• Please confirm your team’s name with me. Informs me that you received this e-mail, and sometimes team members have decided to change their names after the initial registration (which is the info I have). This will ensure our announcers, referees, judges, and other volunteers call out the proper name (hard to correct all the sheets of paper on event day).
• Please let me know if you are attending this qualifier with multiple teams from the same school but different coach names (the same coach’s name for multiple teams is easy to see). I generally organize the team pits by numerical team number, but I will put the same teams together in case they share supplies.
• There is an event website that mirrors the information provided via e-mail: https://azfll.engineering.asu.edu/events/robotics-is-for-everyone-chandler-high-school-qualifier/

Also, we are still in need of a few volunteers to help make this event run smoothly. If you know of anyone who would enjoy volunteering during the event, please direct them to sign up directly via the FIRST Volunteer Express Invitation link: https://my.firstinspires.org/ExpressVolunteer/landing-page/ce8f40f5-91b0-11f0-8ded-00505699b848. Follow the steps to log in with your FIRST account or register for one.

I am expecting to send one more e-mail (likely Thursday night) that will contain your individual team schedule as well as any last-minute clarifications.

Let me know if you have any questions … or if you think I missed anything. 😉

Minor note, I only have the lead coach’s e-mail … please share with your assistant coach.

E-mail is the best way to contact me, but I apologize in advance that I am usually unable to respond until the evening.
Have a great week. I look forward to seeing everyone on Saturday!
-Rick
